What Title/Escrow Production do you use?

  • 1.  What Title/Escrow Production do you use?

    We are a larger office with 4 states and are currently using Resware as our platform. I am exploring what other options are out there. Please let me know what you use and if you recommend it.

    Marie, as a 20+ year user of SoftPro, I highly recommend it.  Is it perfect?  No.  Does it do everything? No.  But, it will accommodate 90% of what you wish to do with closing software, from task tracking to CD prep to automation and integration with vendors.  It certainly will work with your scenario of "larger office with 4 states".  This is a very similar environment that I've worked in for over 20 years.

    I'd urge you to ask anyone who responds about the service they receive from their software vendor.  That is one of the best things about SoftPro.  Their service is top notch, they have a ton of people available to help you with everything from implementation to document and report creation, etc.  They'll come on site for the installation and train your staff.

    No, I don't work for them and never have.  I just have had a lot of great experience with them.

    I second the recommendation of Softpro. I have also used Ramquest and Landtech in the past, and I would say Softpro is the most user friendly. Their integration tools through Softpro 360 cannot be beat. You can do pretty much anything, from creating a shipping label to preparing policy jackets, through 360. They have different tiers of the program to select from. For larger offices, I recommend Softpro Select - you get the most bang out of your buck.

    I've used Softpro Standard for years but am considering switching to SoftPro hosted.  Have you used that?  It seems that it would make working remotely easier.  When it was initially promoted, it received negative feedback.  I'd love to hear whether anyone is using Softpro Hosted without issues.  Thanks!

    We do not use Hosted. 

    I've always been told that if you use virutal desktops, it's not necessary. The way I understand it is that if you don't use virutal desktops and work directly on the PC, then Hosted is a better fit.

    Brian, I haven't tried Qualia.  I have heard from a few sources that you do not own your own data with Qualia.  I don't know that for a fact, but it is worth checking into.

    Regarding Brian Thome's (Qualia) post, as always the devil is in the details.  Regardless of which software you choose, be sure to read the software license agreement, particularly any exhibits and/or attachments.  It's true that we all too often just "agree" to agreements with carefully reading them.     Make sure that the license agreement specifically says that you not only OWN the data that you put on the platform but that you also control the USE of the data.  By use of the data I mean that the vendor pledges that it will not use your data for any purpose other than your business needs and that the data will not be shared, in raw or aggregated form, with any other entity, including affiliates of the vendor/provider.

    We've had Qualia for three years now and I LOVE it!!   I would suggest requesting a demo... that alone blew me away!!  We have Qualia Connect as well.  This adds quite a bit more to the annual fee, but it adds many more features that are very beneficial to your clients (e-signature option being one of them).  We charge a "Qualia Secure Communication & Storage Fee" as part of closing to help offset a bit of the cost.  

    We had SoftPro previously and in my opinion Qualia is head and shoulders better.  I will say that I did not try SoftPro 360, but did do a demo and it did not seem to be nearly as appealing as Qualia was/is.

    Visionet, Inc. (visionet.com) has recently released a new version of AtClose designed specifically for the small to medium sized agents.  It's very "qualiaesq" in that it has many of the features but at a more competitive price.  I can point you in the right direction.

    Hello all, we switched to Qualia core (have not added their Connect feature) 2 years ago after being on SoftPro Enterprise with 360 for 15 years. The difference is night and day in speed once over the learning curve of course which you will have with any change in software, even within the same brand. Customer service is great with both companies. The efficiency components are what made us take the leap over to Qualia. What I mean by that is between the prepopulated fields (when you type in a search field in Google for example a list of options comes up for you to choose, imagine this with every address that has to be entered in every section of the software including payees) AND the ability to edit any document in word which saves back to that file (you can create custom documents as well that are much quicker and easier than with SoftPro). We are only one office but Qualia does have many features that are designed for different branches/locations/etc, also more than one person can be in a file at the same time which was a handicap we had when using SoftPro. While we are extremely pleased with our choice of switching to Qualia I would say that SoftPro is also a good product, if you choose SoftPro it would imperative that managers/users attend their annual user conference to gain valuable insight on using the product. While Qualia does not have such a conference that I am aware of they have a large online learning center and really the software is so intuitive that I simply find I have a lot less questions/support tickets overall. Best of luck to all of you who are making these decisions, it is a very important one that is not easy!

    To comment on the usage of Qualia. Albeit is an excellent product, however, the software is not calculating the ALTA 9.2-06 endorsement fees accurately. Qualia support is aware of this problem since October of 2022 and the software malfunction is still pending to be resolved. 

    Qualia support team, suggested for our staff to calculate the fees manually.

    Can you help us make a determination? What do you all recommend we do.

    Should we go ahead and assume the responsibility of a manual calculation?

    Hi Raul, I'm sorry to hear you're struggling with Qualia. Most of the time my experience with the support people has been excellent. I've encountered calculation issues with them on occasion and usually the problem stems from the integration that a 3rd party has with them and not Qualia themselves. Calculating an endorsement fee is probably related to the integration with your underwriter. I'd recommend reaching out to your agent rep and asking them to put you in touch with the IT person who handles the Qualia integration and see if you can get it resolved through your underwriter.

    As for the responsibility of calculating the fee - that is always your responsibility to ensure that every fee is accurately reflected on the settlement sheet. All title production software companies provide come calculations as a convenience service but they will never ever legally accept liability for nor guarantee their accuracy. So you are not taking on any responsibility or liability that you do not already possess. This is a convenience issue and certainly one worth trying to resolve, but not a liability issue.

    Raul, no matter what software we utilize a separate rate calculator (your underwriters will have these and assist you with how to access) to verify all premiums/endorsements, anytime the software does not reflect the rate calculator we manually adjust to match the rate calculator.

    I agree with all SoftPro recommendations. I have used it for 30 years. I up-graded to Select from Enterprise in 2022 and my staff are loving it!!
    Enterprise is awesome! Select is mind-blowingly amazing from all it can do. I do recommend the in person training to take full advantage.  I divided my team in half so we didn't have to shutdown for training and did 2 full day in person trainings for each team. Worth every penny!
    You'll love it! The tasking and tracking make remote working a breeze.
    I have talked with several others that have gone to Qualia from SoftPro and went back to SoftPro for whatever that is worth. 
    FYI: Skip SoftPro LIVE for now. The portal is difficult to use. It needs work. Clients and consumers did not like it, would not use it and almost stopped using my services because of it. I dropped it.

    We are a 2 person shop operating in 3 states, Kansas, Nebraska and Colorado, with 3 underwriters. We use Qualia. I like it alot. The user interface is easy to use. Issuing policies, regardless of the underwriter, is simple. Accounting and check writing from the trust account is great. The only problem we have had is the integrations with one of our underwriters is still in development for Nebraska. The price was right. The portal works great. We switched from Streamline 4 years ago and haven't looked back.

    Brian, have you contacted both companies to have them provide demonstrations for you?  After the demonstrations, I was able to get a temporary username/password so I could get into training environments and set up files with fake data.  That process gave me a better understanding of the differences between the software, prompted questions I would not have had otherwise, and helped me decide on my software company.

    I'm a business consultant and help title agencies transition from one production software to another, among lots of other things.

    SoftPro and Qualia are both great for very different reasons. If you go with Qualia, I highly recommend their Connect Service and their reconciliation services.

    Ramquest is working on a new product that looks great. I'm working on getting an update on whether or not it's been launched yet.

    eClosing has undergone a LOT of changes in the last year and half. If you're on a budget, they are worth a look. While I prefer some of the bigger names, they are a solid, basic solution for a very low price.

    We use Qualia currently, we are a multistate agency. At a former company of mine, we used Resware, I prefer Qualia, but the pricing can be confusing and is not transparent.

    I would suggest

    • Truly evaluating what features are important to you.
    • What vendor integrations are important to you? Make sure they exist in the platform you're considering.
    • Is automation important to you?
    • What does your local market need? Meaning would texting functionality, fillable forms and a web interface be important to your clients? If so, you might want to check out Alanna (and what TPS systems they are integrated with).
    • What pain points do your users currently have?  Solve for those.
    • Definitely evaluate the pricing model for each and compare the "real" cost.
    • Dig into the other things that are important such as customer support response times and current customer happiness.
    If you are unsure of the feature sets of the available TPS systems out there, you might want to reach out to Rezervology, as they have put together a TPS comparison that compares feature by feature across the different platforms.  It might be worth a call to do some due diligence and save a bit of time, so you can more target the TPS options that have the features you want.

    We are a boutique title agency. For 15 years we used several versions of SoftPro, last 360. We have been using Qualia for just over a year now. We find it to be so much more user friendly than SoftPro. I do agree with all the comments that their support is superior. The product is a bit sluggish tho. Qualia is much more intuitive and flexible. We have always been provided great support as needed (and so much less so than with SP). We were told we own the files. With SP you have to pay a fee to get your files if you leave that platform. I don't know if this is the same with Qualia but great question to ask them.

    I agree Gail!  We switched from Softpro 360 to Qualia with Connect in 2020 and we all really love it!  Way more user friendly and the options to set up auto tasks when certain requirements are added is awesome!  Being able to auto-generate documents with information already filled in is a real time saver as well!

    We have been using SoftPro for years and I love it. Very user friendly and does the job. We are a company that services 3 states. 
    I used to work for a national title company and they used Ramquest. It had all the bells and whistles, but was hard to learn. It was also very expensive. I much prefer SoftPro.

    To anyone that uses Softpro, make the effort to go to the Softpro user conference.  We swapped to Softpro from Streamline in 2020, just as covid hit.  My co-worker and I went to the user conference in 2022 and were amazed at how much we learned in 2 days! We are missing it this year due to our state land title convention, but are planning on going again next year.  It was truly overwhelming how much the software offers that the generic setup training just can't show you! We are an abstract plant, title and closing company, so there are some things that were not typical in Softpro that they could show us how to work around.

    We do a lot of hosting for title companies of these different platforms, and so we see the general usage trends. We don't intimately know the applications like you would as everyday users of course, but the general trends we have in our client base are as follows.

    For our .02 cents:

    It would seem most of our multi-state larger offices are using Resware. I believe this is mostly because of its ability to be customized. Most deployments we deal with are fairly customized. 

    A few larger multi-state offices are using SoftPro.

    None are using RamQuest in a multi-state way. SoftPro and RamQuest seem to be very popular on the small to medium side. 

    Qualia of course seems to sway some away from the more traditional/original solutions, but some do come back for various reasons. Qualia's draw is its "cloud", but any of the traditional vendors can be hosted as a cloud product and you keep the data and own the application, so to me this is not an advantage but a lack of understanding in how the different products can be deployed.


    These are just general opinions and observations from our client base.

    While I only work in PA I have used SoftPro Standard, upgraded to Enterprise and now recently upgraded to Select in my 20 years as a title insurance agent. I find all the SoftPro platforms to be excellent and easy to use but the Select version is by far the best version according to my staff.  My staff love it! It is a very interactive, user friendly platform in my opinion. The tracking is awesome for knowing each file at a glance when coordinating many closings. Your data is your data. All in one easy to access and use place. Forever. Back it up yourself daily.

    As for the cost. It is significantly less expensive than Qualia (plus Qualia's sales force is pushy and arrogant to say the least) whether you purchase the cloud version of SoftPto Select or host it yourself.
    If you invest in your own server and IT company to mange your in office needs and to maintain your server than hosting it yourself is far less expensive. My IT company and SoftPro work well together. My server is meaty, I have expanded twice for the newest upgrade so if you go this route the upfront cost will be greater but over time the annual savings will cover this cost in a very short time, I think we found it to be about 1 to 2 year to recover these cost. It does take time and effort to build but SoftPro will build it the way you want it.

    We have been using SoftPro for years and I love it. Very user friendly and does the job. We are a company that services 3 states. 

    I used to work for a national title company and they used Ramquest. It had all the bells and whistles, but was hard to learn. It was also very expensive. I much prefer SoftPro.

    We have multiple offices and have been using Qualia and Qualia Connect for the last 3 years and will continue to do so. I've experienced AIM/SureClose and RamQuest and they were both hard to use, not intuitive at all. I have done demos with ResWare and SoftPro and while they have some cool tools/integrations, they just don't compared to Qualia for us. 

    Things I like about Qualia:
    The ability to customize it - tasks, automations, documents, prepopulated fields, reports, info requests, etc.
    The ability to make the system efficient for our teams.
    The frequency of upgrades - I've seen many of my suggestions come to life and they are always looking to make it better. 
    It's user friendly, intuitive, and flexible. 
    The integrations with our underwriters, shipping, e-recording, e-signing, RON.
    The customer support team is quick at responding to everyday issues.
    Qualia Connect is easy to use for customers and the ability to send out info requests and have the data feed back into our file is awesome! Highly recommend getting Connect if you have Qualia.
    The people: Our Customer Success Manager (Jade) is AWESOME! She has experience in the industry so she knows what we are talking about and can speak intelligently to it, which makes all the difference. I've had the opportunity to work with many people at Qualia at all different levels and they all want to understand our needs in order to know how to make the product better. 

    Is any software perfect? No, so here are my dislikes:
    As others have noted, the cost is quite high. All of their add-on services are set on the same type of pricing model, even when that type of pricing model doesn't make sense. 
    Sometimes the general support responder doesn't have the industry knowledge necessary to understand what or why we need something done a certain way. 
    Feature Update notifications don't include ALL of the items that have been updated, only the big noticeable ones, so things get fixed or break that we weren't expecting.

    I build and run title companies for the PropTech industry and have used many of the softwares mentioned in this thread. At my previous company, I started with SoftPro and ultimately switched to Qualia because I needed an enhanced tech solution to better integrate with our parent org.  I will be honest, when I first signed with Qualia, they weren't ready for a multi-state account like ours that had title and escrow in some states and only escrow or only title in other states, and we had many challenges. When they initially launched Qualia, they really didn't understand the industry and were ill-equipped to meet the needs of their clients. What I appreciated about Qualia is that they listened to my frustrations and worked diligently to improve their product and to hire account managers that understood our world so that they could adapt to meet our needs.  It took a while, and the changes didn't happen overnight, but when they hired Jade Angelo, and she took over our account, I finally felt heard and started to see the changes I had been pushing for. Jade came for the title world and was uniquely positioned to advocate for us. Qualia really stepped up their game over the last couple of years and now delivers a product that not only meets our needs, but has driven technology in our industry forward. When I left my previous company to build my current title company for Divvy Homes, it was a no-brainer as to which software I wanted to use. I insisted on Jade remaining my account rep and went with Qualia again. I have not regretted the decision for a moment. Qualia has come a long way and is a great software option now. I'm glad I stuck with them!

    I am seeing lots of folks looking at software. We are still working on that comparison for you guys to help out.

    In the meantime: If you have not already documented your software deployment processes I highly encourage that be the first step for an eval like this. A lot of the folks we have spoken with so far had some overwhelming moments knowing which functionality is most critical to them without first reviewing these details.

    (If you need help we dropped out our latest version of a quick software tool (QUARTZ) which does eliminate the pain of that process. It literally drops your deployment of Resware into a full, fluid & external flow doc Instantly. - That sounds "salesy" - I am so sorry! I don't know how else to share it with you but do know we designed it to help you with problems just like this one.)

    Either way - Quartz or no Quartz - However you document or update your flow/function documentation: This is the place where I would begin if I were evaluating and did not have it all updated on "paper" so to speak.

    E-Closing.  However, I have worked with Softpro, Ramquest, TEAM, resware, which I think is a horrible program, Closer's Choice and a couple others.  Ramquest I used for almost 20 years, and once you are used to it, it a good program.  E-closing I chose where I work now because it is very user friendly.  Resware just about drove me out of my mind, and the company I worked for was attempting to force its title writing members to use, in lieu of Ramquest, and as a consequence, many of them left my company and moved to other title companies.  I would not use it, and left shortly thereafter, mostly due to a major move of my family, but it would have caused me to terminate my emoplyment after 43 years.  The program was not written well, we had zero support, and it would cause mayhem in closings for the closers who traveled from office to office.

    We are a small 2-person office in Guntersville, AL, and we use Qualia.  I'm exploring other options, as the price seems a little high for the smallish volume that we do.  We only close 200 or so a year.  We are growing, quickly, but it seems Qualia, although extremely easy to use, is a little pricy.

    Our Title company has been on Ramquest since 2007. I appreciate how responsive their support team is.  When I have a question or requested change within our system, I  send an email and either have a call back or response immediately.  I attend their user group each year, they always look to their users for a wish list of items that we would like to see the platform perform and start working to make our wish lists come true.  They have many different options for training whether you prefer in person or online.  We have 9 offices serving 3 states.  

    Best of luck, these changes are never easy but can be so worth it when you find the right fit!

    Some of the reasons why we like Qualia and would recommend:
    * Easy to use - Basic data entry with auto fill options
    * Editing documents easily
    * Creating custom documents
    * Customizing dashboards, tasks, document storage within file
    * E-sign option (offered with the Connect option)
    * Connect
    * Support, your emails are answered almost immediately
    * Having a representative assigned to our account

    We are a larger operation in Michigan with offices in Texas as well. When we made the switch to Qualia in 2017, it was night and day from what we were currently using (Streamline). We had some growing pains with Qualia and them not understanding our model and how we needed Qualia to work with us and not against us. Qualia and us have come a long way and still work closely. Through many different representatives being assigned to our account, we are now with Natalie Sanchez who takes the time to meet with us, follow up on our wish list, open tickets, and is excited to give us tips and tricks to make Qualia more efficient. Natalie is also our sounding board for what we feel Qualia needs to work on to be even more powerful in the title industry.
    We are at our year anniversary for using Qualia Connect. We have some clients who love it and some who hate it! As Connect improves, I believe it will get better. The biggest complaint are the massive amounts of emails clients receive. This after adjusting our settings. Technology as a whole, the industry needs to take hold of and realize we as a title company are not taking their jobs away but only equipping all of us to make the closing process even better. Knowledge is power, communication is key!  If we could get our Realtors to understand this part, Connect would explode!
    The audit trail in Qualia lacks as well. Knowing who was the one to revise/adjust the file the way they did, would stop us from herding cats when it issues arise. The team is getting better at making notes but lets be real, in our world, we fly by the seat of our pants most days. The more detailed audit trail would come in handy during the post closing process when issues are brought to our attention. Qualia has their activity log but only certain actions show.
    I will agree, it is pricey and the integrations can lag but overall, it was a sound decision to use Qualia. 
    Qualia is a great system if you take the time to learn it and use it correctly. I get excited when I can find or am shown what Qualia will do to make our jobs easier!

    We have been using Qualia for the past 3 years and it's working well for us. When deciding to switch platforms, we underwent an extensive search process, comparing several products. The top items weighted most heavily in our evaluation were:

    • Ease of use
    • Workflow and tasking
    • Integrations
    • Commitment and investment into product development

    Qualia outscored the other platforms in all categories and then some. Over the past 3 years, we've been impressed with the continued upgrades to their products and services. They keep up with the ever-changing world of title and escrow, ensure compliance needs are met and try to stay one step ahead so that we can focus on closing transactions for our customers. 

    There is no perfect product out there or a one-size fits all to a tee, but for us, Qualia comes closest to that. We truly have a partnership with them which is invaluable. They have challenged us to evaluate our processes for improved efficiencies, truly listen to our concerns, are open to feedback regarding process improvements and are dedicated to finding the answers when helping to troubleshoot.
