Qualia vs. Qualia Connect

  • 1.  Qualia vs. Qualia Connect

    Posted 08-13-2025 14:57
    Hello!
We are considering upgrading from Qualia Core to Qualia Connect and I would appreciate feedback from other agencies-ideally those with less than 15 employees-who have made this transition. Was the upgrade worth the financial investment for your operation? How has it impacted your workflow and processes?
To clarify, we are not exploring other settlement software options, as we are very satisfied with Qualia. This inquiry is specifically about whether to advance to Qualia Connect or continue with the Core product.
Thank you in advance for sharing your experiences.

We have been using Qualia for the last five years (other than a three month hiatus when we switched to ClosingVue, just before it was bought by Qualia!). Our Connect package is not due to renew until October of this year, and we will probably not renew solely because of the cost. We are looking into getting a secure portal software package elsewhere. While I think Qualia is a terrific package, they have become too intent on monetizing every upgrade and update, and the cost of all of the packages is getting very hard to justify. Of course I would prefer to be able to keep everything in one package (Qualia), but I do have to watch the bottom line as well.

What programs have you been looking into? We are in a similar boat. Wanting the secure portal software package without the Qualia price.

We have been on Qualia Connect for about 4 years, and honestly, it is a game changer as far as communication with the parties, the ability to make sure everyone is on the same page, and our ability to obtain payoff information, authorizations, etc. from the Seller. We are a 5 person shop. It also helps when one of us is out of the office as you don't have to scour the email, since all communication regarding the file is right there. You can import emails, and it just has a lot of great features. Yes, it is very expensive. We added a small transaction fee for both Buyer and Seller on every file - so far no one has complained.

We are currently on Qualia and are in negotiations and review for other systems due to the endless nickel and diming of all of the features in Qualia. Don't get me wrong, Qualia is a great system and I would prefer not to make a change, but watching the bottom line and the spread in cost between Qualia and other systems is hard to ignore. I also need access to API, integrations and banking options that just don't exist with Qualia currently or are costly in their need to monetize every aspect at the agents expense.

With all of that said, I want to be clear, we are a larger organization and we are expanding nationally, that plays into this as well. But in the end, in this market, Qualia is pretty, but pricing its self out of the realm of possibilities. I have to ask myself, do I need to pay for a Ferrari if I really need an SUV.

    Hi Brian,

Qualia does have an extensive, well-documented API today. In the past not so much, but now it's fairly large. I agree, it may unfortunately be part of a higher subscription tier. I don't work for Qualia nor am I a customer (we have a custom solution) but I have used their API recently in another project and am impressed how far along they've come in this regard. If you or a member of your tech team want to talk about this, or anything else, let me know.

    Hi,

Our company is small and used the CORE Qualia program for many years.  We made the leap to Qualia CONNECT about two years ago.  The cost difference is significant, and we are trying to evaluate if the value is there.  Some features are great! I like the secure portal where a customer may upload their driver's license or other sensitive documents too rather than email.  Honestly, this is the driving reason we are maintaining with Connect; however, many of our clients are "older" and not tech saavy and have a lot of difficulty or basically refuse to use it and are still emailing all of their sensitive data and documents to us.

The "chat" ability within Connect is very nice as it keeps all conversations secure as well and it is easy to communicate with agents and clients within the portal.  The success of this depends on your staff understanding how it works and utilizing it as well as your clients.  I find most clients do not engage at that level of Connect.  It's very smooth when they do though!

Document "Sharing" is a cool option within the portal which we utilize for everything from our EMD verification letter to closing documents.

The e-sign option is pretty easy as well which has eliminated our subscription with DocuSign.

There are a lot of automations available which we felt would be helpful when we were investigating.  We set up the tasks to be auto generated to obtain data from the customers.  Unfortunately, they do not send ONE email with all tasks, but rather a separate email for each task so we have received a lot of complaints from agents and clients on the number of emails they were receiving from us.  I have had to remove the majority of those at this time.  Some agents are tech saavy and utilize Connect in the way it is meant to be used; however, most won't take the time to figure it out and you will still be required to make all of the phone calls and emails as before.

I am not particularly happy with the package options.  As we are small, you have to purchase a specific number of "envelopes".  Each new contract or cancellation uses one of those.  We run out after about 10 months and have to renew in less than a year; however, the next level up has far too many "envelopes" which we will never use.  I wish they had one more level "in between" so we aren't wasting money for excessive numbers.

All in all, it depends on your office and how well they will utilize the innovations and information.  Qualia is capable of SO much, but it takes a lot of time to figure some of it out and then to implement.  Unfortunately, I believed it would minimize the time spent by my receptionist/order opener on the front end, but that has not been the case.

Hopefully some of this information will be helpful to you - one small office to another!

We had Qualia Connect for 1.5 years and the monthly fee that came out of our account was staggering and we never knew what it was going to be....   With that said I just got off a visit with my Qualia representative and he said they have restructured the fees.  We were unable to pass the fee along to our customers as we are in a highly competitive market and very small.  Qualia is top notch in my view, but I am in agreement with the rest.  When they first broke into the market (I was the first to sign on in OK) they were VERY competitive on cost, and I think still are for the core, but the extra is very cost prohibitive for us anyway.  Good luck!

Carrie, our nine-person office started using Qualia just a few months ago, and I'd say the usefulness of Connect is highly dependent on the willingness of your clients to use it. If you're in a high-speed market where apps and tech are regularly used for everything, you'll probably have an easier time getting buy-in than if you're in a smaller market where people prefer paper and phone calls. Some people just don't trust a website/app with their personal info.

My firm utilized Qualia Connect for years before we merged this year with another settlement company. I am not familiar with Qualia Core, is this without compatibility to sent emails out of Qualia?  If so, I advocate for Qualia Connect. It will take your communications with all parties seamless. Plus buyers/sellers have access to their file and status of closing in a secure platform. Bonus of sending docs out for e-signing too. I truly miss it!

I've used Qualia since 2017, and Connect has been a huge help. It makes it easy and secure for buyers and sellers to share loan info, which cuts out a lot of back-and-forth. Honestly, it feels like having an extra half of an escrow assistant-especially on those rushed files where the seller's already entered the loan or HOA details we need.  The progress on how Connect has evolved since 2017 is fantastic as we can customize exactly how and when we want to contact our realtors and buyers/sellers.

We have been using Qualia Connect for the past 4 years, and it has been a game changer for us.  Being able to digitally collect information from customers has saved so much time on data entry and we don't have to hunt people down to get their info as frequently as we used to.  I also really enjoy having a secure portal to exchange documents and communicate with customers - it makes them (and us) feel safe knowing their personal information is protected.  Also, being able to generate workflow utilizing the Connect info requests has made our workflows really efficient.  All in all, well worth it for us!

    Hello!

Our team has always had Qualia Connect since we started in 2018 and honestly, I do not know what I would do without it. We came from TSS, Resware, Greenfolders - all great programs, but did NOT have the Connect piece for clients. We are a digital forward company and have been paperless since 2011. Connect just made sense to build out the digital information requests, RON, automations, secure document portal, and more. From there, we have been able to automate the process and maintain constant communication through secure channels. It really is a game changer for client satisfaction.

We have been using Qualia Connect for 3.5 years now, and while yes, the cost for Connect is rather significant, we really believe it's worth it. We have offset some of the cost with a small archive fee. There are so many customizable features available within Connect that has made our workflow run much more smoothly and efficiently. We were mainly sold on going with Connect because of how easily info can be gathered, imported straight into the file, and alerts you if there's anything worth noting or taking an extra look at (i.e. a POA or remote notary are needed, or a seller is in active BK). Plus, depending on selections that the individual makes when completing those info requests, you can create automations to trigger other things like sending a message requesting additional info or clarification, generating or sharing a document, adding additional tasks to your workflow that match certain criteria, and so much more. All of which reduces the time that your employees would have to take if they had to do all that themselves. You just want to make sure that someone is going to have the time to look into the customizations and setting them up the best for your company. If you don't take that extra time to set up those customizations and create your own automations, you'd miss out on the key benefits of Connect. When setting them up and getting ideas for how you can make the most out of the automations, I found a bunch of Qualia Knowledgebase articles that were very helpful. It's amazing all the things you'll be able to do and automate!

    Hi Carrie,

I have launched Qualia Connect with two companies a small and medium sized company. I firmly believe in what Connect brings to the transaction. Qualia is an amazing and tech forward company that will continue to advance with the title and escrow space, the addition of connect just makes sense. The automations, workflow, integrations and it keeps the information secure. The integration and AI features allow for scalability of a smaller company; your employees are doing less data entry and more facetime with the consumer/clients. We will always have someone who wants to avoid technology and wants paper, this is going to happen with any system.

I find Qualia Connect to be a valuable tool for any size company.  Wishing you the best of luck.

Hi, Carrie! We have enjoyed Connect in that we feel is provides our clients with a more streamlined and consistent experience (finally it's branded, too!). It reduces the amount of time our processors were taking to procure information from our clients and reduces that with templates. Additionally, the number one problem in title from a client perspective is communication or the lack thereof, and Qualia Connect has allowed us to automate communication on such items as letting the client know when the deal is finally funded, which increases client satisfaction with our services.

Beyond that, if communication has a rival for the largest issue in title, it's fraud (maybe that's #1 now - I'm not sure), and Connect allows us the extra security layer when we are exchanging sensitive information.  I have to believe that this will only become more important once FinCen is implemented.

I believe Connect also decreases the errors that we have by the client entering the information directly rather than a processor writing it down and then entering it.

We do pass this fee along to the client, and think it is well worth it.  I'm always happy to answer questions should you have them!

We have used Qualia for about five years.  It certainly makes the processing more efficient, but the high cost is one major drawback.  Interestingly, we just sat through a demo of their new AI capabilities, which is called "CLEAR."  Clear can do lots of impressive things but they quoted us $60,000 for 1200 files, which is more than we currently pay for the core platform and Connect together.  There is a first-year discount, but unless they reconsider their pricing I don't think we can afford it.  We would have to add another $50 per file on top of the Management Tech fee we already charge to pay for Core and Connect.  Frankly, I am not sure how smaller title agencies, who only have two or three processors, will be able to afford it.  Too bad, because it look like Clear does some impressive things.
