  • 1.  Post-close mods/endorsements (accounting through Qualia)

    Hi Folks, I run a title agency in Colorado. I'm hoping to connect with someone to discuss a challenge we're running into in accounting for endorsements needing to be added to files post-close (via Qualia).

    The issue we're running into:

    • Client/Lender requests endorsement / modification to a file that closed X-many months ago
    • Team adds endorsement, issues to client
    • Receipt in funds, disburse according to split
    • Our revenue reports update with new revenue on closed file --> which impacts financial reporting for historical periods

    We've explored creating a new file for these requests but that results in an endorsement being 'unlinked' to the original policy.

    Does anyone have a more elegant solution to handle these? I can't be alone, so I'm assuming someone else has figured it out. Qualia support is stumped and referred me to my underwriter (who doesn't much care about our accounting/reporting and suggest we edit the file in their portal).

    Any ideas would be much appreciated.

    The way we do our numbering for our files we can an "A" to the file name. So recreate the file with the same file name with the addition of the letter "A". That way we know they are linked.

    Hi Daniel,

    Unfortunately, we've run into the same issue here in Indiana. The workaround we've been using is to open a new file (with the same file number but adding an "A" at the end), manually enter the original policy number on the endorsement, and then delete the "A" from the file number. It's not a perfect solution, but it's the only one we've found that works for now.

    I did raise this issue with Qualia, and they told me they would make sure my suggestion for a fix is passed along. That said, they couldn't provide any timeline or guarantee that it will be addressed.

    Hi Joanna,

     

    What happens when you delete the "A" from the file number, do you end up with 2 files with the same number or do they merge?  (we also have Qualia)

    It won't merge.  The best way to add an A file is, in the original file, click on the left rail Loan section, and the plus sign to add a subordinate file.  This way Q does not charge for a 2nd file, and it always stays connected but with a separate accounting section.  Adding a post endorsement, like a loan mod, can be tricky and might require voiding the policy, to open it back up, and then reissuing it with a manual input on the policy number.

    These are all really helpful suggestions – thank you, all.

    I was exploring using subordinate files but I cannot get a straight answer (so far) from Q on whether it burns an additional file from our finite allocation.

    Quick follow-up: When you use a subordinate file, do you simply use the file for accounting (and then go into the UW portal under the original file and add the endorsement)? Or, do you add the endorsement in the Policy Info & Rates section of the subordinate file (and somehow manually enter the original policy #, so as to establish the 'link' between the endorsement and the original policy it's modifying)?
